Rental Return Shipping Guide for Renters: Pack It Right and Send It Back On Time

Use your prepaid return label, re-pack gear safely, and follow return-shipping best practices to avoid delays, damage, or missing items.

How ShareGrid Return Shipping Works

For shipped rentals, your order includes a prepaid return shipping label (return shipping is included in the shipping price). When your rental ends, you’ll repack the gear using the original packaging, apply the return label, and drop the box off at an appropriate carrier location.



1. Confirm Your Return Deadline

Before you pack anything, check your order details for:

  • Return ship-by date (when you must hand the package to the carrier)

  • Any included packing slip or return checklist

Tip: Build in a buffer. Carrier pickups and lines can take longer than expected.

2. Take Photos Before You Re-Pack (Recommended)

Before packing, take clear photos of:

  • Every item you’re returning

  • Gear condition from multiple angles

  • Accessories (batteries, chargers, cables, plates, etc.)

  • Serial numbers (if visible)

These photos help if there’s ever a question about:

  • Missing items

  • Condition disputes

  • Shipping damage claims​

3. Re-Pack Gear Safely (Use Original Materials)

Re-pack using all original packing materials whenever possible.

Packing best practices

  • Use the same box/case and foam/inserts that the gear arrived with (if provided)

  • Wrap items individually and protect fragile parts (screens, lens mounts, filter threads) if needed.

  • Add padding so there’s 2–3 inches of protection on all sides

  • Make sure nothing shifts when you gently shake the box

  • Seal thoroughly with strong packing tape (H-tape recommended)

Important: If the gear arrived in a hard/foam case, it should still be inside a shipping box with padding—don’t ship the case alone unless it arrived that way and is designed for shipping.

4. Include the Packing Slip (If Provided)

If your order includes a packing slip, place it in the box so the owner can quickly confirm:

  • What was returned

  • Which order it belongs to

Place it on top or inside the case where it’s easy to find.

5. Apply the Return Label Correctly

  • Use the prepaid return label provided with your order (or in your order details)

  • Completely cover the original outbound label so the carrier doesn’t misroute the box

  • Make sure the label is flat, scannable, and fully taped down

Important: Do not change the shipping address or create your own label! Using the provided label ensures tracking and protection.

6. Drop Off at an Authorized Carrier Location (Get a Receipt)

  • Drop the package at an authorized ship center for the carrier on your label (UPS/FedEx/USPS)

  • Get a drop-off receipt showing the date/time and tracking number

  • Avoid drop boxes. Handing it to an employee and getting a receipt is safest!


Tracking, Delays, and What to Do If Something Goes Wrong

Tracking

  • Keep your tracking number and receipt until the owner confirms delivery.

Carrier delays

  • Carriers can be delayed due to weather, volume, or other issues. ShareGrid can’t be responsible for carrier delays, so shipping early is always best.

If the gear is damaged during return shipping

  • Save your photos, the box, and packing materials

  • Contact ShareGrid Support as soon as possible with:

    • Tracking number

    • Photos (before packing + after delivery issue)

    • Description of what happened

What’s covered (important)

  • Damage or theft during shipment or the rental period is covered under the renter’s Damage + Theft coverage, serviced by ShareGrid. At this time, Damage + Theft is the only coverage option available for shipped rentals.

    Please note: this shipping coverage applies ONLY to rentals that are shipped through the ShareGrid rental shipping platform. It does not cover shipping for rentals that are not shipped through ShareGrid (such as local pickup rentals).


Battery Shipping Limitations (Important)

Some services restrict batteries, especially lithium-ion.

Best practices

  • Use battery covers/protective cases when available

  • Prevent terminals from touching metal

  • Return batteries in the same way they arrived (same placement/protection)

  • Air services may have stricter rules than Ground

⚠️ Battery rules vary by carrier and service level. Follow the label’s carrier requirements.


Quick Checklist: Returning a Shipped Rental

  • Check your return ship-by date

  • Take photos of gear + accessories before packing

  • Re-pack using original materials (nothing should move)

  • Include the packing slip (if provided)

  • Apply the prepaid return label and cover the old label

  • Drop off at an authorized carrier location

  • Get a receipt + save tracking

  • Ship early when possible to reduce delay risk
